An AI receptionist and admin system for tradies and contractors
You can't answer the phone with a shovel in your hand. Every missed call is a job going to the next name on Google, and every job you do win still has to be quoted, varied, invoiced and chased. I fix both, on site, with your crew.
Win the job. Then get paid for it.
Every call answered, even on the tools
- Answers first ring, seven days, after hours included.
- Takes the job details properly: name, address, what the job is and how urgent.
- Books quote visits into your calendar, only in the times you've set aside.
- Flags urgent jobs and texts you straight away so you can ring them back.
- Texts the customer a confirmation, and texts you a summary of every call.
- Puts the call through to you, or takes a message, when it should.
The job-management system that runs without you
- Quotes go out the same day, from a template the crew can fill in.
- Every variation is written down, priced and approved before the work is done.
- Invoices go out the day the job closes, not the end of the month.
- Timesheets, dockets and subbie paperwork land in one place, from the foreman's phone.
- The owner stops being the person everyone rings to find out where things are.
Five moves, fixed price, measured before and after.
Discovery day
I work on the tools or shadow you for a day and watch how the work actually flows. No pitch on day one.
Systems audit
Every function scored from evidence. I find the three leaks costing you this month and size the hours you're losing.
Proposal
A fixed price for a fixed outcome, in your own words. Three fixes, not thirty.
Implementation sprint
Tools picked, workflows built, the mess migrated, the office and foreman trained, everything documented.
Retainer
A day or two a week so it doesn't rot when I leave. A monthly ops report and a running register.
I've run the trades myself.
I built my own gym from the ground up and ran the build myself: builders, chippies, sparkies, concreters and every other trade, with my own hands on the tools to keep costs down. Then twelve years on mine sites operating the biggest machines in the country. I fix the admin by doing it, on site, with the crew, not from a laptop in an office.
Straight answers.
What does it cost?
The admin system is a fixed price, quoted after a discovery call. The AI receptionist is a fixed setup fee and a flat monthly fee. Your scope is assessed before you commit, so you know the full price up front. No lock-in.
Do I have to change software?
Not if what you've got works. I build in the tools you already run where they do the job. A contractor already on Xero keeps Xero. I only replace what's broken.
Will customers know they're talking to AI?
It speaks naturally, in an Australian voice. If someone asks, it tells them straight: it's the business's AI receptionist, sometimes called a virtual receptionist. That's software that answers the phone, takes the job details and books the visit the way your office would. Then it offers to put them through to a person.
Does it replace my office person?
No. It takes the calls nobody can get to, and the system takes the chasing off their plate. Your office gets time back for the work that needs a person.
Do you come on site?
Yes. The first day is on site, on the tools or shadowing you, watching how the work actually flows. Sydney based, Australia wide, and I travel for the right job.
Can you write my safety documents?
No. I build the register and the process. I'm not a WHS consultant, a lawyer or an accountant. Where you need one, the deliverable says so and tells you what to ask them.
Twenty minutes on the phone, or a day on your site.
Tell me the sentence you keep saying about your business. Something like "I'm neglecting the work to babysit this." That's the thing we fix first.
